It is a comprehensive system that provides more data than any of the prior property managers we have used in our 50-year history. We can run our own reports on an ad hoc basis, review homeowner accounts and payment activity, and better understand our cashflow and overall financial position without having to request information from a management company and wait for it. That visibility has helped us make better financial decisions and grow our reserve coverage from a dismal 0.5% under property management to 15.8% in just two years as a self-managed Association. We also greatly value PAYHOA’s communication capabilities. We can send both individual homeowner and mass community communications by email, text, or phone call, while maintaining a history of what homeowners have received. This is extremely helpful for follow-up, consistency, documentation, and accountability. Overall, PAYHOA gives our self-managed HOA the tools, data, transparency, communication access, and flexibility we need to manage our community effectively and stay much more directly connected to both our finances and our homeowners. > > **Inconvénients**: What we like least about PAYHOA is that some of the accounting workflows require additional reconciliation or journal entries to make the system-generated transactions match the actual financial activity. For example, during the conveyance process, past-due balances may be written off as bad debt and template invoices rerun for the new homeowner, which can cause income to be reflected again in prior periods. We have also found that some dashboard metrics do not always reconcile with the underlying data, so we rely more heavily on detailed reports when validating financial information. The compliance tracking function is probably the weakest area for our self-managed HOA. There is no clear way to show the history and progression of an ongoing violation as it is elevated through different compliance levels. The current process requires lower-level violations to be marked as "completed" before an elevated violation is issued, which can understandably confuse homeowners who then question why a violation is being escalated if the earlier one shows as completed. Improving the continuity of compliance history, along with some of the accounting logic and dashboard reporting, would make an already very comprehensive system even stronger. > > Our overall experience with PAYHOA has been very positive. As a self-managed HOA, PAYHOA has given us a level of visibility into our financials, homeowner accounts, communications, and overall operations that we never had with prior property managers. We can access information directly, run reports on an ad hoc basis, monitor cashflow, track homeowner communications, and make decisions using current data rather than waiting for information to be provided by a management company. That increased visibility and control has played an important role in improving our financial position, including growing our reserve coverage from 0.5% to 15.8% in two years. There are areas that could be improved, particularly certain accounting workflows, dashboard metrics, and the compliance tracking process. Some functions require additional accounting knowledge and reconciliation, and the compliance module does not provide an ideal way to maintain a clear escalation history. However, those limitations have not outweighed the benefits. The support team is available when questions arise, and overall PAYHOA has provided our self-managed Association with a comprehensive, flexible system that allows us to better understand, document, and actively manage our community. ----- ### "PayHOA Was a Real Game Changer OUr Invoicing & Payment Processing" — 5.0/5 > **Marsha** | *14 août 2026* | Organisme social ou civique | Taux de recommandation : 10.0/10 > > **Avantages**: I am the treasurer for a small HOA. Before I located PayHOA, I was handling all invoicing and receipts myself. Each invoice had to be printed, stuffed, and mailed individually. Checks came into our post office box and then had to be sorted, posted, and deposited manually. In addition, we had no way to process credit card payments. Even though Tour HOA is small by some standards, the whole process was still very time-consuming and burdensome. PayHOA took over those tasks and also let us accept credit card payments, which many of our homeowners had been asking for. It was a real game changer for me. PayHOA also has an excellent support team. They are very personable and were extremely helpful to me when I first set up the program. > > **Inconvénients**: Since we are a small HOA there are many features of PayHOA that we don't use. Its primary purpose is processing all of our financial transactions. The only feature that I initially disliked has since been redesigned. That has to do with the initial creation of the chart of accounts, though you still have to go under the BUDGET menu option in order to set it up. > > I have been extremely pleased with PHOA both as a program and with the support provided by its employees. Some examples: 1. PayHOA generates all of our invoices and processes all incoming payments through their system. Previously I was doing all of this myself. I actually burned up my printer. 2. The PayHOA RULES feature expedites categorizing both receipts and expenditures by automatically assigning them to the designated categories. 3. PayHOA prints and mails all correspondence to our homeowners. Previously, we paid a local office supply business to print them \& we stuffed \& mailed them ourselves.
